How to confirm your trip with us? 
To confirm the booking clients are kindly asked to transfer 25% of the total payment as trip deposit with Kalacakra Travel Ltd. The Trip Deposit should be paid by Bank Transfer. Bank account details will be sent with the first invoice. Please note that clients are responsible for transfer charges
The remaining balance of the total payment should be transferred 60 days prior to the trip departure. All reservations are subject to cancellation if the deposit is not received on its due date.

 

Tour Cancellations
It is advisable to take out your travel insurance at the time of booking your trip as cover will commence for predeparture cancellation from the policy issue date. This will, therefore, provide cover should you have to cancel your trip for an insured reason such as illness or serious accident. The deposit is refundable in the event of Mongolia being declared a dangerous zone by the WHO, or a dangerous natural disaster in Mongolia.  

 

Change of Tour Arrangement

If, after the contract between us has come into existence, you want to change your holiday we will do our best to deal with your request, however we cannot guarantee that such changes can be made. Where a change can be made, we will charge for any additional costs incurred.


Health
You should see your doctor or a travel clinic before booking your trip and before travelling to make sure that you have taken all the necessary health precautions. Some vaccinations require more than one visit with a period of weeks between injections.


Responsibilities of Kalacakra Travel Ltd 

As a tour operator, we organize, promote, and sell tour programmes consisting of certain travel services, including guide service, surface transportation, excursions and accommodations, which we purchase or reserve from various suppliers. The suppliers providing services for our tour itineraries are independent contractors and they are not agents or employees of ours. 

 

To the extent that we are involved in booking air transportation for you, we act as your agent and not as an agent for the air carrier. However, we promise that we are responsible for the willful or negligent acts of our partner travel agent for the land services. 

 

We will be responsible for any fluctuations in currency devaluation, park fee increases, taxes, or fuel surcharges after we have received the full payments. And we reserve the right to correct promotional or pricing errors or to increase the tour price in the event of cost increases due to changes in airfares, currency devaluation, park fee increases, taxes, or fuel surcharges before we receive your reservation deposit. 

 

We are not responsible for any terrorist attacks, political unrest, war, earthquake, landslide, delay, cancellations of airlines and train companies. 

 

Passports and Visas
We can offer guidance for visa applications, but we cannot be responsible if you are refused a visa or refused entry. It is your responsibility to ensure that your passport and visa are valid.

 

Health and Safety: 
Please be sure that you are aware of any precautions which have been recommended by the relevant authorities in your home country. 

 

Insurance:

It is your responsibility to ensure that you are in possession of appropriate insurance as referred to on the Booking Form. This should include cove for medical treatment, emergency rescue and repatriation costs, and loss or damage to baggage.

Tour cancellations: 

If a client cancels their booking the following conditions apply.

Number of days before departure when we receive your cancellation / Cancellation charge as percentage of
your holiday price:

​

  • Between time of booking and 60 days before departure - Loss of deposit

  • Between 45 days and 30 before departure - 40% of invoice

  • Between 30 and 21 days before departure - 85% of invoice

  • Less than 21 days - 100% of invoice

Accommodation and  Special Requests  
Accommodation is arranged and priced on the basis of twin rooms. If you wish to have accommodation with a double bed, or if you prefer single accommodation, please let us know. This will require an additional charge, and we cannot promise that such accommodation will be available. Smoking is not permitted in accommodation or in transport vehicles. 

 

Riding
This is an activity which involves risk, and you must ensure you have appropriate insurance and bring your own riding helmet if you intended to participate.

 

Events Beyond Our Control
Kalacakra Travel cannot be responsible for events which are beyond our control. This would include war, terrorism, natural disaster, flight cancellations, economic crisis, and adverse weather conditions.

BOOKING PROCESS
 

1. How to Book and Confirm: Our clients are kindly asked to complete the attached Booking Form and  transfer 25% of the total payment as deposit to confirm their trip with Kalacakra Travel. We will then send you a receipt and written confirmation of your booking, together with an invoice for full final payment. We can not confirm a booking without receipt of the deposit.

 

2. The Remaining Balance: of the total payment is to be transferred 60 days prior to the trip departure. Clients are responsible for transfer charges. We cannot accept payment by cheque or debit/credit card.
